Creating Your First Project

Step-by-step guide to starting your first proposal.

A "Project" in Velocibid represents a single RFP or Questionnaire you are responding to. It acts as a workspace where you can manage documents, questions, and answers.

1Start a New Project

Tip: If you are a new user, check the "Getting Started" progress bar on your dashboard. It will guide you directly to the creation page.

From the Dashboard, click the blue "+ New Project" button.
(Note: Users with the Viewer role cannot create new projects).

You will be prompted to enter:

  • Project Name: Usually the name of the client or the specific RFP (e.g., "Acme Corp RFP").
  • Description (Optional): Add context about the RFP or client.

⚠️ Plan Limit

Free Trial users are limited to 3 active projects. You must upgrade to a Pro plan to create unlimited projects.

2Upload RFP Documents

Once the project is created, you need to upload the source documents. Velocibid supports:

PDF
Standard RFPs
Word (.docx)
Editable Docs
Excel (.xlsx)
Security Sheets

Working with Excel Questionnaires?

You can upload Excel files during project creation to include them in the knowledge base.

However, if you need to fill out answers directly into the Excel rows, it is best to use the specialized importer:
1. Create the project.
2. Go to the project dashboard.
3. Click Actions Add Questions from Excel.

3Automatic Extraction

After uploading, Velocibid's AI automatically scans the document to find questions. This process usually takes 10-30 seconds depending on file size.

Note: If the AI misses any questions, you can manually add them or try re-uploading a cleaner version of the document.

4Generate Answers

Click the "Generate Drafts with AI" button. The system will search your Smart Library for relevant information and draft a response for every question.

5Managing Documents

Need to add more files later? Navigate to the Documents tab in your project dashboard.
There you can view all uploaded files and use the "+ Upload" button to add new addendums, reference PDFs, or Excel sheets at any time. All new uploads are automatically indexed for the AI.
