How "Smart Learn" Works

Add Source

Click Add Source and choose from "Upload Files", "Import Website", "Google Drive", "SharePoint", or "Notion". Enable the "Smart Learn Mode 🧠" toggle for file uploads.

AI Extraction

The AI scans your content (documents up to 50 pages, or website text) and identifies every potential question a prospect might ask.

Review Interface

You are shown a list of extracted Q&A pairs. You can edit the phrasing, delete irrelevant ones, or approve them.

Knowledge Base

Only the pairs you approve are saved to the Knowledge Base. This keeps your library clean and high-quality.

Knowledge Base

This is the processed "Q&A" format that the AI uses. When you upload a Source, Velocibid automatically extracts key facts and adds them here.

Import Knowledge from Websites

Don't have PDFs handy? You can now teach Velocibid about your company by simply pasting a URL. The AI will scrape the page and extract factual Q&A pairs automatically.

How to Use Website Import

Go to Smart Library → Add Source
Select the "Import Website" tab
Paste a URL (e.g., https://yourcompany.com/security)
Click "Analyze Website"
Review and approve the extracted Q&A pairs

Sandbox Mode Limit: Trial users get 3 website scrapes per day. Pro users with their own API keys have unlimited scraping.

Updating the Knowledge Base

Facts change. If you update a policy or release a new feature:

Go to Smart Library > Documents.
Delete the old document.
Upload the new document using Smart Learn to refresh the Q&A pairs.

The AI will automatically re-index the new information within minutes.

Auto-Learn (Self-Healing)

The #1 problem with traditional RFP software is maintenance. You finish a project, but your library stays old. Velocibid solves this with Auto-Learn.

How it works

1.When you finish a Project, ensure the good answers are marked as Approved.
2.Click the Actions menu in the project header.
3.Select "Archive to Knowledge Base".

The system will automatically extract all approved Q&A pairs, tag them with the Project Name, and add them to your Smart Library. Next time you ask a similar question, the AI will use this "proven winner" answer!

Content Ownership & Versioning

Every library entry now has an owner and a version history.

Ownership

The creator is automatically assigned as the owner. Owners see a blue badge on their entries. Ownership can be transferred to other team members.

Version History

Every edit to a library entry is versioned. The previous Q&A content is saved with a timestamp and author, creating a full audit trail.
