Velocibid is built for teams. You can invite colleagues to review proposals, add to the Smart Library, or manage projects together.

Task & Approval Workflow

Velocibid separates "Writing" from "Approving" to ensure high-quality proposals.

Assigning Tasks

Click Assign on any question to pick a team member.

Smart Workflows:

  • If status is Draft, they get a "New Task" email.
  • If status is In Review, they get a "Review Request" email.

Deadlines & Approvals

Set a Due Date when assigning. The question card will visually track urgency:

Approvers should mark questions as "Approved" to lock them. Approved answers are automatically locked to prevent accidental edits. Admins can unlock if needed.

Notification Center

Velocibid keeps you in the loop with a centralized notification system.

In-App Notifications (The Bell)

Click the Bell icon in the top-right header to see your recent alerts.

  • Mentions: When someone tags you in a comment.
  • System Alerts: Important workspace updates.

* Notifications are automatically marked as read when you click them.

Asking External Experts (Guest Portal)

Sometimes the expert you need isn't on Velocibid (e.g., a Legal Counsel or specialized engineer). You don't need to pay for a seat to get their answer.

How to use the "Ask Expert" Link

  1. Click Ask Expert on any question card.
  2. This copies a unique, secure link to your clipboard.
  3. Send this link via Slack/Teams/Email to your expert.
  4. They see a simplified page with just that question (No login required).
  5. When they submit an answer, it appears instantly in Velocibid as a comment from you (tagged "via Guest").

Security Note: Guest links expire automatically after 48 hours.

Inviting Members

  1. Go to Settings > Team Members.
  2. Click Invite Member.
  3. Enter their email address.
  4. Select a Role (Admin, Editor, or Viewer).

Roles & Permissions (RBAC)

Velocibid uses a strict Role-Based Access Control system to ensure data security while enabling collaboration.

EditorProposal Managers, WritersContent Creator. Can create projects, upload documents, and approve answers. Cannot manage billing or invites.

Waitlist / Private Beta

Currently, organization creation is limited. Inviting members works freely, but creating new independent organizations may require support approval.
