Gap Analysis

Check if you can meet RFP requirements before responding.

Before drafting responses, check if your organization can meet the RFP's hard requirements with the Gap Analysis feature.

What is Gap Analysis?

The Gap Analysis feature uses AI to extract hard requirements from RFP questions (certifications, compliance standards, technical capabilities) and matches them against your Smart Library to show:

  • Readiness Score: Percentage of requirements you can meet
  • Missing Requirements: What certifications or capabilities are not in your library
  • Critical Gaps: Deal-breaker requirements flagged for attention

Why use Gap Analysis?

  • Save Time: Know upfront if you're missing critical requirements before investing hours in a response
  • Better No-Bid Decisions: Identify RFPs you can't win early
  • Improve Library: Discover what documentation you need to add

How to Use

  1. Upload your RFP and let the system extract questions
  2. Click the Insights button in the project header
  3. Click Run next to Gap Analysis (or use Refresh All to run all analyses at once)
  4. Wait 10-15 seconds while AI analyzes requirements
  5. Click the Details pill to open the full readiness breakdown panel
  6. Review your readiness score and missing requirements

What It Checks

Gap Analysis scans for:

  • Certifications: SOC 2, ISO 27001, HIPAA, PCI DSS
  • Compliance: GDPR, CCPA, FERPA
  • Technical Capabilities: SSO, API integrations, specific features
  • Security Requirements: Encryption standards, penetration testing

Understanding the Score

✅ 70%+ Readiness

You have evidence for most requirements. Proceed with confidence, adding missing pieces as needed.

⚠️ 40-69% Readiness

Significant gaps exist. Review missing requirements carefully and update your Smart Library before proceeding.

❌ Below 40%

Major gaps. Consider marking as "No Bid" or invest significant time adding required documentation to your library.

Important Notes

  • The AI is lenient - it looks for ANY related evidence in your library
  • A "Critical" badge means the requirement sounds mandatory based on question wording
  • Results are saved in the database for future reference
  • Re-run analysis after updating your Smart Library to see improved scores

Tips for Better Results

  • Keep library updated: Add certifications, compliance documents, and capability descriptions to your Smart Library
  • Use descriptive Q&As: When adding to library, write clear questions like "Do you have SOC 2 certification?" with detailed answers
  • Link evidence: Include document names or policy references in your answers
  • Run early: Check gaps before generating answers to know what's missing
