Once the AI has drafted your answers and you have reviewed them, it's time to export the proposal back to a format you can send to the client.

How to Export

  1. Open your Project.
  2. Ensure all questions have draft answers or approved answers.
  3. Click the Actions dropdown in the top right corner.
  4. Choose your export format:
    • Export as Word - Opens template selector to export as .docx
    • Export as PDF - Opens template selector to export as .pdf
    • Export as Excel - Exports to .xlsx spreadsheet
  5. For Word or PDF export, select your preferred template from the searchable dropdown.
  6. Click Export Document to download your file.

Custom Templates

Velocibid supports both Word templates (.docx) and PDF templates (.pdf) for maximum flexibility.

Word Templates (.docx)

  • Use placeholders: {{ rfp_name }} or +++rfp_name+++
  • Support dynamic tables and loops
  • Can export as Word or PDF
  • Best for complex formatting

PDF Templates (.pdf)

  • Must have fillable form fields
  • Use field names: question_1, answer_1
  • Always exports as PDF
  • Best for simple forms

How to Upload a Custom Template

  1. Go to Settings → Templates
  2. Click the file upload button
  3. Select your .docx or .pdf template
  4. The template will appear in export dropdowns automatically
PDF Template Requirements: Your PDF must have form fields. Use naming convention: project_name, date, question_1, answer_1, question_2, answer_2, etc.

Pro Tip: The template selector includes built-in search - just start typing to find your template quickly. You can also set a default template in Settings → Templates for faster exports.

Analytics & Compliance Reports

Beyond proposal exports, Velocibid also supports PDF exports for:

  • Analytics Report: Export your win rates, KPIs, competitor data, and outcome breakdowns as a branded PDF. Go to Analytics → Export.
  • Compliance Report: Generate and export audit trails, approval histories, and legal review logs as PDF. Go to Configuration → Compliance → Export PDF.
